Speed decides who gets the case
In Clio's 2024 Legal Trends Report secret-shopper study of U.S. law firms, only 33% replied to an email inquiry, 40% answered the phone and 48% neither answered nor called back. A person who just left an urgent care clinic after a crash on I-5 isn't going to wait until Monday. They'll call the next firm on Google.
What the assistant asks
You approve the exact questions. A typical personal injury set:
- Names of everyone involved, for your conflict check, before anything else
- Type of incident: car, truck, motorcycle, bike, pedestrian, slip and fall, dog bite
- Date and county, so your team can see the time frame and venue at a glance
- Whether they've received medical treatment, and where
- Whether a police report was made
- Whether they've talked to an insurance company or have another lawyer
- The best way and time to reach them
It never estimates what a case is worth or tells someone whether they have a case. Those questions get a warm decline and an offer to book a consultation.

Handled with care
People reaching a PI firm are often hurt, frightened or on pain medication. Oregon's Opinion 2026-208 points out that a chatbot may miss signs that someone isn't in a state to choose a lawyer (RPC 7.3(a)). Our assistant is set up to slow down rather than push for a booking when someone seems in distress, offers a callback from a person, and every conversation goes to your team for review before anyone signs anything.
Website chat and after-hours calls, one system
The same assistant answers your website chat and the calls your team misses. Every lead arrives the same way: a summary, the transcript or recording and a booked consult, in your inbox or, via Zapier, in Clio Grow, Lawmatics or MyCase.
What a missed lead costs
Put your own numbers in. The fee is illustrative; use what a typical signed case brings your firm.
About 10 extra signed cases a year, worth about $72,000 in fees. Tactical Intake is $997 a month ($11,964 a year, plus $500 setup in the first year), or $797 a month with no setup fee at the founding rate.
Pricing
$997 a month plus $500 setup, month to month. Founding offer: the first two Portland firms get $797 a month locked for a year with no setup fee. 2 of 2 spots open. At a typical one-third contingency fee, a $30,000 settlement brings the firm $10,000, so one extra signed case a year covers the service.
Common questions
Will it tell people whether they have a case?
No. It never assesses a case or estimates its value. It collects the facts and books a consultation with your attorney.
Can it take intake in Spanish?
Ask us about Spanish-language intake for your firm. Our bilingual demo site shows how English and Spanish pages and chat can work together.
What happens with a call at 2 AM?
The assistant answers, takes intake and books the next open consult. If you've defined it as urgent, it alerts the attorney on call right away.
Does it work with our case management software?
Leads go to your email, and to Clio Grow, Lawmatics or MyCase through Zapier. Other systems can usually be connected with a small extra step.
