Privacy Policy
Effective October 22, 2026. Tactical Intake is a service of TacticalMS, Portland, Oregon ("we", "us").
Who this covers
This policy covers three groups of people:
- Visitors to tacticalms.dev
- People who call our demo line or book a demo with us
- Newsletter subscribers to Law + AI Daily
- People who contact a law firm that uses Tactical Intake. When you call or chat with a firm that uses our service, we process your information on that firm's behalf and under its instructions. The firm controls that information, and its own privacy policy also applies. Contact the firm directly with questions about your information.
What we collect
- Contact details you give us: name, phone number, email, firm name, practice area and anything you type into the demo request form on our site.
- Call recordings and transcripts. Calls to our demo line and to a client firm's intake line are recorded and transcribed. Every call announces this at the start.
- Chat messages you type into a website chat run by our service.
- Intake details collected for a law firm: the type of legal matter, the names of other parties and basic facts the firm asks for. We configure the service not to ask for Social Security numbers, financial account numbers or medical records.
- Appointment details when you book a consultation or demo.
- Newsletter details if you subscribe to Law + AI Daily: your email address, when you confirmed, and delivery information such as whether an email was delivered or bounced.
- Basic technical data from website visits, such as browser type and pages visited, through standard server logs.
How we use it
- To answer calls and chats, collect intake information, and book appointments
- To send the law firm you contacted your intake summary, transcript and recording
- To send confirmation and reminder messages you agreed to receive
- To respond to demo requests and run our business, including billing our clients
- To send Law + AI Daily to people who subscribed and confirmed by email
- To keep the service secure and fix problems
We do not sell personal information. We do not use information collected for one law firm for any other client, and we do not allow it to be used to train AI models.
Text messages (SMS)
If you give a phone number and agree to receive texts, you may get messages about your inquiry, such as confirmations, appointment reminders and follow-ups from the law firm you contacted or from us. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text-messaging opt-in data and consent are not shared with any third parties, except the service providers that deliver the messages.
Who we share it with
We share information only with:
- The law firm you contacted, for intake calls and chats
- Service providers that run the service for us under confidentiality obligations: HighLevel (chat, voice AI, phone numbers, texts, CRM and booking) and the voice, telephony and AI model subprocessors HighLevel uses, Apple iCloud+ (email), Resend (delivers demo request form submissions to our inbox, and stores newsletter subscribers' email addresses to deliver Law + AI Daily) and Stripe (billing for our client firms only)
- Authorities, when the law requires it
How long we keep it
- Call recordings: 90 days by default, unless the law firm sets a different period
- Intake records and transcripts: for as long as the law firm uses our service, then returned to the firm and deleted
- Demo inquiries: up to 2 years, or sooner if you ask
- Newsletter subscriptions: until you unsubscribe or ask us to delete your address
How we protect it
Information is encrypted in transit, and our service providers encrypt it at rest. Every account with access uses multi-factor authentication, each law firm's data is kept in its own account, and access is limited to us and the firm. No system is perfectly secure. If a security incident affects your information, we will notify the affected law firm promptly and support any notices Oregon law requires.
Your choices
- Ask us what information we hold about you, or ask us to correct or delete it. For information collected for a law firm, we will pass your request to that firm.
- Opt out of texts at any time by replying STOP.
- Unsubscribe from Law + AI Daily with the one-click link in any issue.
- Ask for a callback from a person instead of speaking with the AI assistant.
Children
Our service is not directed to children under 13, and we do not knowingly collect their information.
Changes
We will post any changes on this page and update the effective date.
